Imagine you’re drowning in a sea of critical documents -- contracts, IDs, compliance forms -- scattered across drives, inboxes, and desktops. That’s the problem Omni Intelligence set out to fix.
The goal? Build a secure, smart, and user-friendly document hub that not only stores everything safely but turns the chaos into clarity.
The Challenge
When I joined the project, it wasn’t about just slapping features on a page. I had to think like the user and anticipate the pain points behind the scenes -- the admin juggling thousands of files, the compliance officer tracking expiry dates, the team member who just needs quick access without security headaches.
There was no big UX research team or armies of user interviews, just me, digging deep into secondary research, analyzing competitors, and applying solid UX principles to design a dashboard that makes life easier.
Research & UX Thinking
With no primary user data in hand, I leaned on secondary research -- industry reports, competitor analysis, and real-world document management frustrations gathered from online communities and forums. The key was to identify the biggest barriers. These included slow document retrieval, poor categorization, lack of security controls, and disjointed integrations.
That intel shaped the design roadmap:
- Intuitive bulk upload and categorization to reduce admin grunt work.
- AI-powered search and filtering to skip the endless file hunting.
- Robust user access controls to balance security with collaboration.
- A clean, minimal dashboard layout that shows what matters most, without clutter or overwhelm.
Every design decision was grounded in empathy for the user’s real struggles and a realistic approach to solving them -- all without the luxury of user testing early on. But that just meant I built flexibility and scalability into the design, ready to evolve once real users came onboard.
Scope of Work - Full Web Platform Design
Omni Intelligence wasn’t just about crafting a slick dashboard -- I designed the entire user experience across the web platform from the ground up, building a cohesive and scalable system that supports both user trust and product growth. Here's what I tackled:
- Homepage: The first impression -- bold messaging, clear CTAs, and trust-building visuals to drive conversions.
- Features Page: Straightforward, benefit-focused breakdown of what the platform actually does -- no fluff, just benefits.
- FAQs & Help Center: Empowering users to solve problems on their own -- reducing the burden on support, improving satisfaction.
- Demo Video Library: Helping users and teams onboard faster with visual walkthroughs.
- Press & Blog: Establishing media presence and keeping users informed.
- About & Careers Pages: Humanizing the brand and inviting talent.
- Policy Pages: Terms of Service, Privacy Policy, and Cookie Policy -- built with legal clarity and user transparency in mind.
- Sign Up, Log In, Forgot Password: Streamlined and intuitive, with security and simplicity front and center. Designed to minimize drop-offs and maximize confidence.
Design Highlights - Prototypes
I mapped out clear, intuitive flows -- from uploading documents, managing permissions, to searching and notifications. Prototyping focused on speed and ease, making sure bulk actions and search features didn’t slow anyone down.
Clean and simple -- shows recent activity and notifications, CTA, pending tasks, and analytics at a glance. No noise, just essentials.

Stakeholder Testing & Learnings
Early testing was limited due to resource constraints, but initial feedback from stakeholders regarding the prototype showed promising results:
- They loved the speed and accuracy of the AI search.
- Bulk upload was praised as a massive time saver.
- The security controls gave admins peace of mind.
- The clean dashboard reduced cognitive load compared to competitor platforms.
This validation confirmed that the core UX decisions were on point, and set the stage for continuous iteration based on real user data post-launch.
Results & Impact
While Omni Intelligence is still ramping up, the early design work has positioned it as a promising tool for any organization juggling complex, sensitive document workflows. The platform promises to boost operational efficiency by at least 70%, reduce compliance risks, and transform document management from a pain point into a strategic advantage.
Final Thoughts
This project was another level higher into independent UX thinking. Without traditional research safety nets, I leaned on empathy, secondary data, and practical design to create a platform ready for real-world use.
Omni Intelligence isn’t just a document manager -- it’s a productivity and peace-of-mind machine for busy professionals juggling tons of files. Designing this was rewarding. It proved that great UX comes down to smart research, empathy, and creating solutions users didn’t even know they needed -- until they can’t live without them.
